Privacy Policy
This Privacy Policy explains how UK Local Guide handles personal data.
Last updated: Sep 18, 2026
1. Data controller / operator
For UK data protection purposes, the controller of personal data processed through the Service is Coleswood Media Ltd trading as UK Local Guide.
Company number: 05331756.
Address: First Floor Office, Sentinel House, Sentinel Square, Brent Street, London, NW4 2EP.
2. Information collected from visitors
When you browse UK Local Guide, we may process technical data such as IP address, browser type, device information, pages viewed, referring URLs, and approximate location derived from network information, together with cookie or similar identifiers needed to operate the site.
3. Business listing information
Business listings may include publicly displayed information such as business name, address, category, location, description, website, social links and images. Contact details published on a listing are those supplied for directory display. Listing recipient enquiry addresses are not shown in public page source where the enquiry form is used.
4. Account information
If you create or use an account, we process account details needed to authenticate and manage the account (such as name, email address, password credentials stored securely, and role or listing associations).
5. Enquiry-form submissions
When you use a listing enquiry form, we process the information you submit (for example your name, email address, phone number if provided, and message) in order to deliver the enquiry to the business’s configured recipient address.
6. Recipient-email privacy
Enquiry recipient addresses are resolved server-side for delivery and are not intended to be exposed as public mailto links or in Livewire page state. Visitors should use the enquiry form where it is available rather than expecting a published business email address.
7. Logs, security and fraud prevention
We may keep application, web-server and security logs to operate, protect and troubleshoot the Service, detect abuse, and investigate incidents. This may include IP addresses, timestamps, request paths and error diagnostics.
8. Cookies and session data
We use cookies and similar technologies that are necessary for sessions, authentication, CSRF protection and core Service functionality. Additional analytics or marketing cookies, if introduced later, will be disclosed and controlled in accordance with applicable law.
9. Payment data
Directory listing payment checkout is not currently live. Hosting or other platform payment features that may exist elsewhere in the wider application are separate from directory listing checkout. We do not currently process live directory listing subscription payments through this Service.
10. External Google and Trustpilot integrations
UK Local Guide may retrieve and display review information from Google and Trustpilot for eligible listings.
Use of Google functionality is subject to the Google Maps/Google Earth Additional Terms of Service (opens in a new tab) and the Google Privacy Policy (opens in a new tab).
When Google review information is retrieved or displayed, Google may receive request data such as Place identifiers and technical request metadata required to fulfil the API call. UK Local Guide stores Google Place IDs for confirmed matches where configured; it does not permanently store Google review content in the directory database.
Trustpilot
Trustpilot data is retrieved through Trustpilot’s authorised API (Data Solutions). Trustpilot remains the source and, as applicable, the controller of its review-platform content. Users can follow links to Trustpilot for the source information. UK Local Guide may cache Trustpilot information for no more than 24 hours (the configured permitted duration, capped at 24 hours).
11. Legal bases
Depending on the activity, we rely on one or more of: performance of a contract or steps prior to a contract; legitimate interests in operating a public directory and securing the Service; consent where required (for example certain cookies); and legal obligation where applicable.
12. Data retention
We retain personal data only for as long as needed for the purposes described above, including listing operation, account administration, security, legal claims and compliance. Cached Trustpilot responses are retained only within the configured cache lifetime. Google review payloads are not retained as permanent listing records.
13. Data sharing and processors
We may share data with service providers who help us host, send email, provide security, or (when enabled) process payments, and with Google or Trustpilot when retrieving or displaying their review content. We do not sell personal data.
14. International transfers
Some providers (including Google and Trustpilot) may process data outside the United Kingdom. Where transfers occur, we rely on appropriate safeguards required by UK data protection law, such as adequacy regulations or standard contractual clauses implemented by the relevant provider.
15. Your rights
Under UK GDPR you may have rights to access, rectify, erase, restrict or object to certain processing, and to data portability, subject to legal limits. You may also withdraw consent where processing is based on consent.
16. Complaints to the ICO
If you are unhappy with how we handle personal data, you can complain to the UK Information Commissioner’s Office (ICO) at ico.org.uk (opens in a new tab).
17. Security
We apply appropriate technical and organisational measures to protect personal data, including access controls, encrypted transport where supported, and careful handling of API credentials. No method of transmission or storage is completely secure.
18. Policy changes
We may update this Privacy Policy from time to time. The updated version will be published on this page with a revised “Last updated” date.
